Role: Talent Assistant

Team Overview: Global Entertainment is a division of YMU, which develops, guides, and executes the careers of our world-class talent in the traditional Entertainment and Social first space. The division is proud to represent an industry leading group of 50+ broadcasters, creatives, artists, musicians, creators and authors, supporting and amplifying them across their commercial, live, literary, podcasting, and strategic business needs. This individual will work across a variety of clients that sit within the entertainment space as well as creators.
About the job: To assist on a variety of clients with administration and support services to ensure that they fully utilise their time effectively.
Key Responsibilities:
Client & Account Management
- Support diary management, meeting room bookings, and scheduling of all client appointments and commitments.
- Coordinate travel, logistics, and schedules for shoots, press events, and professional engagements.
- Assist with day-to-day client-facing responsibilities, including organising gifts, fan mail, PR packages, and invitations.
- Liaise with clients’ teams to align on deliverables and timelines.
- Maintain and update client records, including biographies and statistics on the YMU website.
- Compile materials for showreels and collaborate with the wider team on their creation.
- Take clear, concise notes during meetings and circulate to relevant stakeholders.
Contracts & Payment Administration
- Assist with processing contracts and invoices to ensure timely payments.
- Ensure clients have access to all necessary documentation (contracts, settlements, payment information).
- Support Talent Managers and Directors in drafting deal memos and confirming key terms.
- Track payment statuses and follow up on outstanding invoices when required.
- Raise invoices using Parika and maintain accurate records.
- Support in updating Airtable
Commercial Strategy & Brand Partnerships
- Provide administrative support on brand partnerships and commercial deals.
- Help manage campaign logistics and prepare clear proof briefs for clients.
- Maintain trackers for commercial opportunities and share updates with senior team members.
Broadcast & Entertainment Development
- Assist with scheduling and logistics for TV, radio, and media appearances.
- Support clients with shoot preparation, including coordination with production teams, transport, styling, and glam.
- Attend industry meetings, take notes, and share key takeaways with the team.

Preferable Requirements
- Previous experience providing assistant support or experience within Media, or the Entertainment Industry will be looked upon favourably but is not a requirement as this is an entry level position
